Atlassian Platform Update and Maintenance Challenges

A Swiss insurance company faced significant challenges with its Atlassian platform. Regular updates to its systems had become a complex process, leading to poor maintenance and a lack of innovation for its users. The company needed a solution to streamline operations, improve system reliability, and foster innovation while minimizing disruptions to its 300+ users.

Smooth approach to Jira and Confluence Migration

To tackle our customer challenges, we adopted a multi-faceted approach.

Initially, we conducted an in-depth audit of their current system to pinpoint areas needing improvement. This included assessing the workload and identifying potential challenges to create a robust migration strategy. Our team advised on the appropriate licenses to purchase, ensuring the company was equipped with the necessary tools for a successful migration. Additionally, we performed a meticulous cleanup of user accounts, transitioning over 300+users to the new cloud instance seamlessly.

Again, developing a comprehensive Migration Runbook was a critical part of our strategy. This document monitored each action and challenges encountered throughout the migration. We tailored our migration strategy to address the specific needs of the client’s Jira and Confluence cloud environments, holding weekly follow-up meetings to provide updates and address concerns promptly.

Our team facilitated the connection of the client’s Identity Provider (IdP)  to the new cloud instance, ensuring seamless integration and security.

Throughout the process, we conducted multiple migration test iterations to identify and resolve any issues. This ensured a smooth transition of 70 projects, 170 spaces, over 62,000 tickets, and 75 GB of attachments, maintaining data integrity.

Collaboration with Atlassian and Testrail support was crucial. We facilitated User Acceptance Testing (UAT) and extensive pre-production testing to validate system performance.

Moreover, the production launch was managed with minimal downtime of just 8 hours, followed by Hypercare support to address any post-migration issues promptly. In addition, comprehensive training for users and administrators ensured they could effectively utilize the new system from day one.
