Securing and Streamlining Jira: A Journey from Server to Cloud

Our client, a major player in the energy sector, faced a critical juncture in its technological evolution. They aimed to migrate from Jira Server to Cloud to streamline workflows and improve security. Therefore, implementing Atlassian Access for single sign-on (SSO) and two-step verification was integral to this strategy.

This complex move demanded meticulous planning to protect sensitive data and keep disruptions minimal while transitioning projects and users. The migration’s goals included:

  • The streamlining and optimization of licenses
  • The securing of the target environment (without losing data)
  • The preservation of functionalities, with a focus on the Xray plugin (test management)
  • The reduction of downtime for teams
  • The use of dashboards for monitoring projects

Approach

In order to successfully migrate our client’s Jira Server instance to Jira Cloud, our teams broke the project down into several main steps:

1. Audit of the Jira Server Instance: We conducted a comprehensive audit of the client’s Jira Server instance to define the migration scope and determine the best migration methods.

2. Preparation of the Source Environment: We cleaned and streamlined the source environment to reduce the volume of data and ensure consistency.

3. Preparation of the Target Environment: The target Jira Cloud instance was configured with users, permissions, and settings to ensure compatibility with the source environment.

4. Implementation of Atlassian Access: We set up Atlassian Access with SSO and two-step verification to enhance access management security.

5. Migration Tests and Client Validation: Migration tests identified potential issues, and client validation ensured alignment with their expectations and requirements.

6. Planning of the Migrations and Division of the Projects: Careful planning and division of projects into batches minimized downtime and ensured a smooth migration process.

7. Completion of the Migration via the Jira Cloud Migration Assistant: We used the Jira Cloud Migration Assistant to transfer data efficiently, with real-time monitoring to resolve issues promptly.

8. Assistance and Support Following the Successful Migration: We provided continuous support and training to help the client adapt to the new environment with minimal disruption.

Benefits

The project allowed the company to migrate:

  • 80 Jira projects across two batches without losing any data, ensuring that the client’s teams experienced minimal disruption.
  • 431 active users were successfully migrated to the new platform with complete data integrity, allowing them to continue their work seamlessly in the new environment.

Our comprehensive approach to the Jira Cloud migration delivered significant advantages, empowering the client with a robust and efficient system.

  • Optimized Licensing: by carefully auditing the client’s Jira Server instance and streamlining the migration process, we helped the client optimize their licenses, ensuring cost-effective and efficient use of resources.
  • Improved Administration: the migration process also led to easier and more secure administration of the Jira tool, enabling the client’s IT team to manage and maintain the system more efficiently post-migration.
